Thesis & Dissertation Oral Defense Submission Checklist

Before submitting your thesis or dissertation for oral defense, complete each item on this checklist to ensure compliance with university academic and formatting standards.

1. Page Formatting & Structure

Page Numbers: Confirm that Roman numerals (e.g., I, II, III) are used for preliminary pages (Abstract, Declaration, Table of Contents) and Arabic numerals (1, 2, 3…) start from Chapter 1.

Unnumbered Pages: Ensure required pages without visible numbers (e.g., Title Page) are still properly counted in the overall pagination sequence.

Margins: Set page margins strictly according to guidelines (e.g., 1 inch / 2.54 cm top, bottom, and right; extra binding margin on the left if required).

Page Order: Verify that all preliminary pages, main chapters, references, and appendices are in the approved sequence.

2. Font & Spacing

Font Type & Size: Apply standard fonts consistently throughout (e.g., Times New Roman 12 pt). Headings and footnotes should adhere to specified sizing guidelines.

Line Spacing: Set main body text to required line spacing (e.g., double spacing). Block quotes, footnotes, and table contents should be single-spaced as mandated.

Paragraph Alignment & Indents: Maintain consistent paragraph alignment (justified or left-aligned) and standard first-line indentations.

3. Links, References & Figures

Active Hyperlinks: Verify that all web links, DOI URLs, and internal cross-references (e.g., Table of Contents links to chapters) are active and functional.

Citations & Bibliography: Check that every in-text citation matches an entry in the reference list using the required citation style (e.g., APA, Chicago, IEEE).

Figures & Tables: Ensure all figures and tables are properly labeled, captioned, referenced in the text, and high-resolution.

4. Similarity Report (Plagiarism Check)

Run Report:
Send your final document to the library (Go to Submission Portal ).

Receive Report: You and your supervisor(s) will receive the report from the library email.

5. Forms & Approvals
Oral Defense Application Form:
Complete and sign the official Application for Oral Defense Form.
Master or PhD

Library Deposit: You will receive an email link from Academic Affair Office for the final library deposit.
Final check: Make sure every checkbox has been reviewed before submitting your thesis or dissertation for oral defense.
